Organizing information events

Here are some recommendation when planning and organizing FP7 information events:


Strategic Focus

- Events not be organised ad-hoc – part of overall promotion effort - avoid duplication

- Aligned with national R&D communication

- Have specific objectives, if possible with concrete engagement opportunities

- Events should be tailor-made for audience, theme and objective


Programme

- The programme should present FP7 within appropriate national and thematic environment

- Mix of speakers – able to speak with authority (to attract participants and reassure during questions) – never have only EU speakers

- Preference for short / focused programmes / presentations

- Opportunities for active participation / discussion / networking


Logistics

- Venue, date, time to enure easy attendance

- Early announcement

- Registration should not be cumbersome – can be useful to determine specific areas of interest

- Good marketing of event

- Documentation available – prior if possible and at the venue, always electronically

- Refreshments always attractive and good for networking!


Follow-up Activities

- Survey participants regarding usefulness of events

- Follow-up message to participants

- Documents promised transmitted

- Alert to new opportunities

- Promptly react to enquiries

- Maintain contact – follow-up events as appropriate including with new „champions“

Communication tools

Intercultural differences in research and technology projects

One of the overall objectives of the FP7 is to involve third country researchers into FP7 projects with the mutual interest and benefits as the European partners. To avoid misunderstanding and thus inefficiency of the projects, it is necessary to observe the possible cultural differences from the very beginning of the project. Cross-cultural communication needs knowledge about cultures and differences as well as the possibilities beyond the difficulties.

Within the INCONTACT project a set of PowerPoint slides were produced to provide an introduction to intercultural communication.
